ICC Profiles Explained

What ICC profiles do in a print workflow, how source and output profiles differ, and how to avoid silent color remapping.

Overview

An ICC profile describes how a device or printing condition reproduces color. Source profiles characterize cameras, scanners, or working spaces (sRGB, Adobe RGB, image-specific tags). Output profiles / output intents characterize the press condition you are aiming for (for example GRACoL 2013 coated, FOGRA39, or a house digital press profile).

Color management uses profiles to translate numbers from one meaning to another. The same CMYK values are not interchangeable across profiles — 100% cyan in one condition is not the same ink behavior as 100% cyan in another. Untagged objects force the RIP or PDF processor to assume a default, which is where silent shifts begin.

PDF/X workflows embed or reference an output intent so the receiving plant knows the intended condition. That does not magically fix RGB images, wrong trim, or missing fonts — it only clarifies the color target. Operators still need to confirm the plant can run that condition or will remaps intentionally.

Think of profiles as contracts: they only help when both sides honor them. A perfectly tagged file printed with the wrong press curve still misses the proof.

Step-by-step

  1. 1. Separate source tagging from output intent

    Images should carry accurate source profiles (or be converted into a known working space). The PDF’s output intent states the print condition. Mixing those ideas causes people to “assign GRACoL” to an RGB photo and call it done.

  2. 2. Choose the plant’s characterization

    Use the profile the shop specifies for the stock and press. Coated vs uncoated, sheetfed vs web, and toner vs ink change the right target.

    If the customer’s file targets a different regional standard, decide whether to soft-proof and convert or to run as-is with documented risk.

  3. 3. Convert once, deliberately

    Preferred path: convert artwork to the output condition in a color-managed app, embed/export correctly, then avoid a second surprise conversion in the RIP.

    If the RIP must convert, lock a plant default and keep it stable for reprints.

  4. 4. Soft-proof critical jobs

    Enable soft proofing with the output profile and, when available, simulate paper color. Approve brand colors after soft proof, not before.

  5. 5. Verify embedded intents at intake

    Check that PDF/X output intents and image tags match expectations. Untagged RGB plus a mismatched output intent is a common preflight finding.

Common mistakes

  • Assigning instead of converting. Assigning a press profile to RGB numbers without conversion mislabels the data. Conversion changes the numbers to preserve appearance as well as the profile allows.
  • Using a display profile as a print profile. Monitor calibration profiles are for screens. Press ICCs describe ink on paper. Do not export with a display profile as the output intent.
  • Ignoring stock differences. A coated sheetfed profile on uncoated stock predicts the wrong dot gain and chroma. Match profile family to substrate.
  • Chasing perfect screen match. Even with correct ICCs, emissive displays out-gamut print. Sell accurate expectations, not impossible identity.
